Let’s be honest. In tech, we love a new toy. New platforms, new licences, new integrations. They all feel like progress. But here is a question I ask teams all the time:
“Are you actually getting full value from what you already have?”
In a lot of cases, the answer is “probably not.”
This is not about underperformance. It is about underutilisation. And in a world where IT budgets are being scrutinised more than ever, maximising what you already pay for can be one of the smartest moves you make.
Why this happens
Tooling often grows organically. A project needs a platform. A department signs up for a new app. A vendor includes a ‘value-add’ module during renewal. Over time, you end up with a tech stack that looks powerful on paper but only 50 to 60 percent of it is being used day to day.
No one is doing anything wrong. But if you do not deliberately revisit what is in place, you are almost guaranteed to leave value on the table.
Where to look
Here are three areas where we consistently help clients unlock more from their existing IT estate.
Microsoft 365
Most businesses are only scratching the surface. Features like Endpoint Manager, Purview, Defender for Cloud Apps or Power Platform often go unused despite being included in their licensing tier.
We have helped teams:
- Replace standalone DLP or MDM tools with Microsoft 365 equivalents
- Automate tasks using Power Automate instead of separate RPA platforms
- Strengthen security with Defender tools already covered by their E5 licence
That is money saved and capability unlocked, all without new spend.
Built-in integrations and automation
You might be surprised how many platforms have built-in integrations just waiting to be configured. Think Slack to ticketing, Teams to CRM, or ITSM tools syncing with Azure AD.
By activating what is already there, you can:
- Reduce duplicate work
- Improve workflow speed
- Eliminate unnecessary subscriptions
These are not major projects. Just smart tweaks that make your existing tools more valuable.
Analytics and reporting
Most platforms have reporting dashboards, but they are often underused. Whether it is usage in Azure, collaboration stats in Teams, or login analytics in your identity platform, these tools can help you:
- Identify adoption gaps
- Spot unused features
- Highlight risks before they escalate
What we recommend
You do not need to replace anything. Just ask:
- What are we paying for that we are not using?
- Are we duplicating capability across tools?
- Could we enable more value with better use or training?
Sometimes the best investment is no new investment at all. Just making what you have work harder.
